Your quote requests answered within the hour. Last week's estimates followed up by morning.

A small crew of AI agents takes the office work off your week: the reply to every quote request, the follow-up on every estimate that hasn't closed, and the maintenance-plan dates nobody should have to carry in their head. All of it in your voice, none of it sent until you say so, and you stay in the truck instead of at the desk.

Built for HVAC, plumbing, electrical, and roofing companies. Runs alongside the software you already use.

Why this exists

Most home-service companies run from a truck and a phone. The owner is on a job, the office is one person on dispatch, and the quote requests, the estimate follow-ups, the maintenance renewals, and the invoices all wait for whoever gets to the desk first, usually at eight at night. Very few shops have the help the job needs: someone on the quote requests, someone chasing the estimates that didn't close, someone watching the maintenance plans, someone asking for the review after a good job. The reason is margins, almost never effort. That kind of help is a salary, and the money goes into the trucks, the techs, and the parts, in that order.

A quote request comes in at 7 p.m. and gets a call back the next afternoon, after a competitor has already booked the job. An estimate goes out, nobody follows up, and the customer forgets which company it was. A maintenance plan lapses because nobody saw the date. An invoice sits unpaid for 60 days because nobody wanted to make the awkward call. None of it is hard. There's just too much of it, and all of it waits for the owner.

At some point we stopped thinking the answer was “find the money for one more salary” and started thinking there had to be a better way for a shop to support itself. That's what Second Unit is.

It isn't for every shop. If you already have an office manager and a CSR you trust, you don't need this. If you don't, and you've been running the office from the cab of the truck, we built this for you.

The quote request that waits until tomorrow is already booked with someone else. They were ready at 7 p.m. By 8 another company had called back.

The same crew we run our own business on

Second Unit is built and run by Noettic Labs, a Los Angeles studio that builds with AI to solve real business problems. We build products that do real work, and we install crews that do it inside your business: the quotes, the follow-ups, the renewals, the records, the reports, the paperwork that keeps a company moving and keeps its best people from doing any of it.

The crew on this page is the system we use to run our own business. We sat down with the people doing the best work with agents, kept what held up under a real week, and wrote it into the job cards and rules every crew ships with. An install is that system, set up on your business, by hand, on a call.

Second Unit is one of several products from Noettic Labs. See what else we've built.

Second Unit is a service. There's no software for you to learn. We install a small crew of AI agents in your own accounts, one job each, and train each one on how your company works: your voice, your price book, your service area, your rules. A quote desk that drafts a reply to every request within the hour with two appointment windows. An estimate follow-up agent that chases every open estimate on a schedule until it books or the customer says no. A maintenance tracker that watches every plan and never lets a renewal slip past. The crew works alongside ServiceTitan, Jobber, Housecall Pro, or whatever you already run; that stays your system of record. Between them they take hours of office work off every week, and you approve every one before it goes out.

A word about AI. These are tools for the office work. They answer the request, chase the estimate, and draft the renewal. They don't diagnose a system over email, price a job your price book doesn't cover, or promise a tech at a time the calendar can't hold. The call on the job stays with you and your techs.

The name comes from film. On a set, the second unit shoots everything that doesn't need the director: the establishing shots, the inserts, the driving scenes. The director keeps the scenes that need them. Same deal here. The agents take the replies, the follow-ups, and the dates. You keep the truck, the customer at the door, and the work.

ToKaren MitchellSubjectRe: AC not cooling, Oak Ridge Drive

Karen, thanks for reaching out, and sorry the AC is giving you trouble in this heat. We can have a tech out tomorrow between 8 and 10, or Thursday between 1 and 3.

The diagnostic visit is $89, and it's applied to the repair if you go ahead with us. If the system is more than 12 years old, the tech will walk you through repair versus replace with real numbers, no pressure either way.

Reply with the window that works and we'll confirm.

Quote Desk

Every quote and service request from your website, your inbox, and the texts you forward gets a drafted reply within the hour, in your voice, with two appointment windows and the price from your price book. It knows what may be quoted over email and what needs a tech on site. It flags no-heat and no-cool emergencies to you the same hour.

Reads: your inbox, your price book, your calendar. Writes: a draft, a note in your job software. Never: sends, quotes a price that isn't in the book.

Estimate Follow-up

Every estimate that goes out gets a follow-up on the schedule you set, day 2, day 7, and day 14, in your voice, with the price unchanged and the next open window offered. It stops when the customer books or says no, and it tells you which ones went quiet. Unsold estimates are where most shops leak money, and the fix is a note that gets sent.

Reads: your estimates, your calendar. Writes: follow-up drafts, a status per estimate. Never: changes a price, sends.

ToLuis HerreraSubjectYour maintenance plan renews next month

Hi Luis,

A quick note from Ridgeline. Your annual maintenance plan renews on the 15th, and your fall tune-up is due before then. We have mornings open the week of the 6th.

The plan stays at $189 for the year, with the two visits and priority scheduling included. Reply with a morning that works and we'll put you on the schedule.

Best,
Dana

Maintenance Tracker

Every maintenance plan, warranty, and service agreement goes into one record. The agent watches the renewal dates and the visits due, and drafts the note 30 days out with the tune-up offered in the same email. You stop finding out when the customer calls to cancel.

Reads: the agreements, the schedule. Writes: the record, a reminder, a draft. Never: changes a price, a plan, or a charge.

Meet the crew

Each agent is set up for one job, the way you'd brief a new CSR on day one: the instructions for that job, the rules it works inside, the skills it needs, and nothing else. Your quote desk knows your price book. Your follow-up agent knows every open estimate. Your tracker knows every plan by name.

Start with one. Add the next when you're ready. The Second Unit Lead comes with any setup and ties them together.

Once you say yes: what you get in the first week

Nothing is left for you to figure out. This is what we set up, and when.

  1. Day 1Installed and Running.

Your Second Unit Lead and your Quote Desk are set up on your own accounts, interviewed on your voice, your price book, and your rules, and one real quote request is answered before we end the call.

  2. Day 2The Requests Stop Waiting on the Truck.

Every new request has a drafted reply within about an hour, with two windows and the price. Your office reads, edits if they like, and sends.

  3. Day 3First Check-in.

We read the week's drafts together, note what you changed, and tighten the rules so the next ones need less of your hand.

  4. Day 7Your First Number.

How many drafts went out untouched. It's the one figure we track from here, and it tells you whether this is keeping you in the truck instead of at the desk.

Have a heat wave in week one? Your Quote Desk drafts every reply the hour it comes in, and your Estimate Follow-up keeps chasing the ones from last week.

How it works

  1. Assessment.

A free 45-minute call. We find the tasks that are eating your office's week and match them to the agent that can take them over.

  2. Install.

Everything works from day one, and you don't set up a thing alone. We help you sign up for Grok Bot, and for Notion if you don't have it yet, both on your own accounts. Then, in one screen share, we install the agents, connect your email and calendar from your side, and run the interview that teaches them your voice, your price book, your service area, and your rules. We walk you through the whole thing and check every piece before we hand them off to you.

    Runs on
  3. Two Weeks of Tuning.

We read the drafts with you every few days and tighten the agent until most go out with no edits. Then a monthly check-in, and the next agent setup when you want it.

  4. Most home-service companies are running within a week of the assessment.

$100 to $750 a month per agent, scaled the same way. A monthly check-in, tuning as your company changes, support when something's off, and the next agent when you want it. Ninety days minimum, then month to month with 30 days' notice.

No monthly fee. Your Second Unit Lead agent walks you through changes to the other agents yourself, and when you'd rather we did it, we're on call by the hour.

The assessment call is free, and there's nothing to decide until it's done. You pay for your own software: about $30 a month for Grok Bot and about $10 a month per seat for Notion, paid to them, not to us.

What the agents won't do

What changes

The quote request that came in at 7 p.m. has a reply in your drafts before the first job. Last week's open estimates are twelve follow-ups on Monday morning, and you send them from the truck. The renewal conversation happens a month early instead of when the customer calls to cancel.

You still write the important emails. You just stop writing all of them.
